VPP Apple ID Assignment

This article will focus on using the managed distribution model to distribute and re-claim VPP licenses through the Xinca Management System. With managed distribution, users are invited to receive VPP apps through their Apple ID. This license can be revoked at any point, and transferred to another user. 

Requirements:

  • VPP requires at least iOS 7
  • Each user must have an personal Apple ID to receive managed distribution apps. This licensed Apple ID must then be signed in on the iOS device in order to receive VPP apps.

Steps to take:

  • Add a VPP account to XMS;
  • Add apps to your VPP account;
  • Invite users (Apple ID assigned only);
  • Wait for the users to accept the invitation (Apple ID assigned only);
  • Deploy apps and grant VPP licenses;
  • Revoke VPP licenses. 

Add a VPP account to XMS:

  • To start, download the VPP Service Token from the Account Summary page on Apple’s VPP site
  • In XMS go to “Organization” -> “Settings” -> “VPP”;
  • Click on “Configure VPP”;
  • Upload the token you’ve downloaded from the VPP site;
  • Click on “Save Settings”.

Add apps to your VPP Account:

You first have to buy apps or books via the VPP site, all the purchases will automatically show up in XMS. To do so:

  • Login at Apple’s VPP site with your organisation’s VPP account;
  • Search for the desired app or book;
  • Click on the name of the app or book;
  • Enter the amount of licenses you want to buy and, if it’s a paid app, check the “Managed Distribution” box.
  • Click on the “Review Order” button;
  • The purchased licenses will automatically show up in XMS within 10 minutes under the “Apps” or “Documents” section based on the type of purchase. 

Invite users:

  • In XMS go to “Users & Groups” -> “Overview”;
  • Search for the user you want to invite to VPP;
  • Click on the “Invite User” button;
  • Click on the “Send Invite” button to send the invite to the users e-mail address.

Wait for the users to accept the invitation:

Invited users will receive an notification on their device or an e-mail depending on the invitation method you’ve chosen. Accepting the invitation will require the user to sign in with their iTunes account, and accept Apple’s VPP terms and conditions. 

To view the invitation status:

  • In XMS go to “Users & Groups” -> “Overview”;
  • Users with the VPP Status “Associated” have accepted the invitation and are able to receive VPP licenses. 

Deploy apps and grant VPP licenses:

Apps purchased through VPP will automatically show up in XMS. Depending of the type of purchase, this can be either under “Apps” or “Documents”.

  • In XMS go to “Apps” or “Documents” based on your needs;
  • Search the VPP App or Book you want to distribute and click on the name;
  • You can see how many licenses are purchased and how many are still available;
  • You can let XMS automatically manage your licenses. Users who are in scope will automatically receive an licenses are revoked from user that become out of scope;
  • Define who will receive the VPP app, by defining an scope. See for more information: “How to distribute apps via Xinca Management System (XMS)“;
  • Click on “Save App”.

Revoke VPP licenses:

In order to re-claim a license, the user’s app license must be revoked. A license can be revoked for a specific app, or a user’s access to all licensed apps can be revoked.

As per Apple’s policies, a revoked user will be granted a 30-day grace period before any re-claimed apps are removed from the user’s purchase history. Once a license has been revoked for one user, it will be available for applying to another user.

Revoke a single license from a user:

  • In XMS go to “User & Groups” -> “Overview”;
  • Search for the users that has the license you want to revoke and click on the name;
  • Click on the “VPP Licenses” app;
  • Click on the “revoke license” button of the app you want to revoke.

Revoke all licenses from a user:
Retiring a user account reclaims any assigned licenses and dis-associates it from your VPP account.

  • In XMS go to “User & Groups” -> “Overview”;
  • Search for the users that has the license you want to revoke and click on the name;
  • Click on the “Retire user” button.
